1 Overview & Bot Scope

Kochu Bot ("Kochu", "the Bot", "our Bot") is the official automated Discord service operating in conjunction with Esports Lens ("the Platform"). Kochu assists tournament organizers, referees, and competitive players by automating coin tosses, generating temporary team voice channels, assigning tournament roster roles, and delivering live match lobby notifications inside Discord servers.

This Privacy Policy explains what Discord identifiers and interaction metadata Kochu processes, why it is required for tournament operations, and how your data is safeguarded in full compliance with the Discord Developer Terms of Service & Developer Policy.

2 Data We Collect & Process

To provide seamless esports automation, Kochu collects only the minimal Discord metadata strictly necessary for bot functions:

Discord Identifiers
  • • User ID & Username: To link your platform account and verify player identity during matches
  • • Guild (Server) ID: To track which tournament server Kochu is added to
  • • Channel IDs: To post coin toss results, toss announcements, and match notifications
  • • Role IDs: To create and manage tournament team roles and referee permissions
Interaction & Match Data
  • • Slash Command Invocations: Timestamps and execution status of bot commands
  • • Coin Toss Outcomes: Automated coin flip records generated for match disputes/side selections
  • • Voice Lobbies: Temporary voice channel creation timestamps and member assignment logs

What Kochu Does NOT Collect or Read

  • No Message Content: Kochu never reads, logs, or stores general text chat messages in your Discord channels.
  • No Private Direct Messages (DMs): Kochu does not store or analyze private messages sent between Discord users.
  • No Passwords or Financial Data: Kochu has zero access to payment information or personal credentials.

3 How We Use Processed Data

Processed Discord information is exclusively utilized for:

  • Tournament Automation: Managing coin toss announcements, side choices, and automated lobby pings for registered team leaders.
  • Role & Voice Channel Orchestration: Generating team roles and temporary match voice channels with tailored permission overrides.
  • Referee & Admin Tools: Enabling authorized referees and tournament staff to initiate coin flips and lobby calls directly from match management pages.
  • System Reliability & Security: Maintaining microservice synchronization, verifying bot API secret signatures, and monitoring request queues.

4 Data Sharing & Third Parties

We do not sell, rent, or trade your Discord data to any third party under any circumstances.

Data is shared strictly with the following service providers to enable bot operations:

  • Discord API Services: Official API communication with Discord to deliver messages, manage tournament roles, and sync server channels.
  • Platform Database Infrastructure: Secure database storage and encrypted platform infrastructure maintained by Esports Lens.

5 Data Storage, Security & Retention

We implement rigorous security controls to keep all bot communication and stored records protected:

  • Encrypted API Signatures: All inter-process communication between the web platform and Kochu bot microservice is validated with HMAC/secret headers.
  • Automatic Server Data Cleanup: When Kochu Bot is removed or kicked from a Discord server, guild specific configurations and channel caches are automatically invalidated.
  • Match Records Retention: Coin toss results and match log summaries are retained alongside tournament match history to ensure fair-play verification.

6 Your Rights & Data Deletion Requests

You have full control over your Discord integration:

  • Unlinking Account: You can unlink your Discord account from your platform profile settings at any time.
  • Removing Bot from Server: Guild administrators can remove Kochu Bot from their Discord server whenever desired, immediately halting bot operations.
  • Data Deletion Request: You can request complete erasure of your stored Discord associations by contacting us via email or our contact form.
